Choosing AI tools for a small business

Evaluate workload fit, paid seats, governance and total cost before expanding access.

Updated 5 Nov 2026 · Educational editorial guidance

01

Start with one business workflow

Choose a bounded activity with a clear reviewer: drafting product descriptions, preparing internal training or editing a podcast. Define the input, acceptable output and a measurable reason to continue.

Run a small pilot using non-sensitive or approved sample material. Record review effort and failure cases as well as speed. Public product claims are not evidence that a tool meets your business's requirements.

02

Count editors, guests and minimum seats

Separate people who create content from people who only view or comment. A guest allowance is not necessarily an editor license, and buying an individual account does not establish shared-workspace features.

Check the minimum bill. The verified ChatGPT Business pricing requires two or more standard users; Synthesia Starter distinguishes one editor from its guests. Model the selected plan's rules rather than multiplying a headline blindly.

03

Review data and output permissions

Identify what customer, staff or confidential information the workflow uses. Confirm retention, training settings, access controls and any required agreement with the vendor. A private-generation setting alone does not settle all data-processing questions.

Confirm the right license for the organization and output. AIVA's individual plans have business eligibility conditions; a personal plan is not automatically appropriate for every company.

04

Set a purchase and exit test

Compare the actual subscription bill, optional usage, administration and human review effort. Unknown quote-based costs cannot be treated as within budget until confirmed.

Keep an owner for renewals and policy changes. Check that required files can be exported, that access can be removed when staff leave, and that a change of vendor would not strand essential work. Commercial referrals must not determine this assessment.
